These Terms are a contract between ScirDom and the Client. They apply when the Client creates an account, accepts these Terms, pays for a draw, submits Participant Data, executes a Draw, downloads a certificate or Evidence Pack, or otherwise uses the Platform.
Unless separate written terms are agreed in writing for a specific service, these Terms apply to the Client's use of the Platform.
These Terms apply to business and organisational use only. The Platform is not intended for consumers acting for personal, household, or domestic purposes.
If a person accepts these Terms on behalf of an organisation, that person confirms that they have authority to bind that organisation. If they do not have that authority, they must not accept these Terms or use the Platform.
If separate written terms are agreed for a specific service, those written terms take priority for that service only. Otherwise these Terms apply.
2. Definitions
Client means the business, charity, agency, public body, professional organisation, or other organisation using ScirDom.
Platform means the ScirDom website, software, draw execution system, documentation, verification tools, certificates, Evidence Packs, and associated services.
Promotion means the Client's prize draw, free draw, prize competition, campaign, giveaway, allocation process, or similar promotional activity.
Draw means the technical selection process executed through ScirDom using the locked Participant List, draw configuration, algorithm version, and entropy material assigned to that draw.
Participant Data means personal data, pseudonymous data, identifiers, hashes, entry records, or other data relating to participants submitted by or on behalf of the Client.
Evidence Pack means the draw-specific package generated by ScirDom, which may include the certificate, manifest, entropy reference or portion, algorithm reference, submitted participant register, locked participant register, checksums, and verification instructions.
3. Business-only use
The Client must use ScirDom only for lawful business, charity, professional, public-sector, or organisational purposes.
The Client must keep account, billing, organisation, and authorised-user information accurate and up to date. Individual credentials must not be shared between multiple people.
The Client is responsible for all activity under its account except to the extent caused by ScirDom's breach of these Terms or security failure.
4. Service boundary
ScirDom provides technical infrastructure for verifiable draw execution and evidence generation. The Platform may support participant-list submission, draw configuration, draw locking, execution using validated entropy, certificate generation, Evidence Pack generation, verification materials, audit logs, documentation, and related support.
ScirDom is not the Client's promoter, promotion operator, lottery operator, gambling operator, prize administrator, prize custodian, payment handler for promotion entries, independent judge, independent observer, regulator, regulatory approver, certification body, legal adviser, tax adviser, advertising compliance adviser, data protection officer, or guarantor that a Promotion is lawful or compliant.
Use of ScirDom does not by itself make a prize draw, competition, campaign, or other Promotion lawful. ScirDom outputs are technical records and evidence materials only and must not be presented or relied on as legal approval, regulatory approval, or professional advice.
5. Client responsibilities
The Client remains responsible for the legality, structure, design, administration, marketing, and delivery of each Promotion. This includes significant conditions, promotion rules, entrant eligibility, prize descriptions, free-entry route where required, paid/free route equality where relevant, advertising claims, participant communications, winner notification, prize fulfilment, complaints, and regulatory correspondence.
The Client must ensure that the Participant List is accurate, complete, lawful, and final before it is locked. The Client must remove ineligible entries, apply duplicate-entry rules, and confirm the draw configuration before execution.
The Client must not use ScirDom for an unlawful lottery, misleading promotion, unfair commercial practice, non-compliant gambling product, unlawful data processing, sanctions breach, fraud, harassment, security abuse, or activity that could compromise Platform integrity.
The Client must not state or imply that ScirDom is an independent judge, independent observer, regulator, prize administrator, or legal compliance certifier.
6. Draw execution and Evidence Packs
Before execution, the Participant List is locked and a tamper-evident fingerprint is created. After payment confirmation, ScirDom executes the Draw using the locked list, the configured winner count, the active algorithm version, and the relevant entropy material.
Evidence Pack downloads are owner-authenticated and available to the owning authenticated account. Evidence Packs include the submitted and locked participant registers because those records are needed to support independent replay and verification.
After a Draw completes, working participant identity material is purged after successful Evidence Pack generation where possible. The authoritative submitted and locked registers remain in the Evidence Pack unless a lawful, technically appropriate deletion instruction applies.
Completed Draws, certificates, Evidence Packs, receipts, billing records, and audit-relevant records are normally retained for six years. Records may be retained for longer where needed for law, tax, accounting, dispute handling, security, fraud prevention, or verification integrity.
Public verification currently focuses on entropy validation packages, algorithm materials, and signature checks. ScirDom is not a public draw-evidence portal for every client Draw unless a separate publication arrangement is made.
A certificate or Evidence Pack supports technical verification of draw execution. It is not a legal opinion, regulatory approval, audit opinion, fairness guarantee, insurance certificate, gambling licence, advertising-clearance certificate, or certification that the Client's Promotion is lawful.
7. Fees, payment, and refunds
ScirDom charges on a pay-per-draw basis. There is no setup fee, no subscription by default, and no separate charge for certificate or Evidence Pack generation. The public pricing page states the applicable per-draw prices. UK prices include VAT; non-UK fixed regional prices are charged in the currency shown.
Bespoke invoices, order forms, service tiers, support packages, or subscription arrangements apply only where expressly agreed in writing.
Stripe and PayPal are used to process ScirDom platform fees. Stripe and PayPal may act as independent controllers for parts of the payment flow. ScirDom is not a payment handler for promotion entries or participant payments.
Fees are non-refundable after a Draw has been executed because the paid service has been consumed and the evidence record has been generated. Before execution, refunds are available only where ScirDom agrees, these Terms require it, or applicable law requires it.
8. Security and acceptable use
The Client must keep credentials, authentication devices, API keys, tokens, and access links confidential and secure. The Client must promptly notify ScirDom of suspected unauthorised access, credential compromise, API key compromise, security incidents, suspicious activity, or misuse.
ScirDom may require multi-factor authentication, credential rotation, access restrictions, or other controls where reasonably necessary to protect the Platform, clients, participants, ScirDom, or third parties.
The Client must not attempt to bypass access controls, interfere with entropy allocation, manipulate draw execution, attack the service, scrape data unlawfully, upload malicious code, or upload unsafe files.
9. Data protection
Each party must comply with applicable data protection law. The Privacy Notice explains how ScirDom processes personal data as controller.
For Participant Data submitted by or on behalf of the Client for draw execution, ScirDom usually acts as processor and the Client usually acts as controller. The Client is responsible for lawful basis, privacy information, data minimisation, accuracy, participant rights requests, and promotion-specific automated-decision-making safeguards.
The Data Processing Terms in the Schedule apply where ScirDom processes Participant Data as processor for the Client.
10. Intellectual property
The Platform, site design, software, documentation, branding, algorithm publications, entropy custody materials, and associated intellectual property are owned by ScirDom or its licensors.
The Client may use unmodified certificates and Evidence Packs for lawful audit, verification, participant communication, dispute handling, regulatory response, legal advice, and internal governance connected with the relevant Draw.
The Client must not misrepresent ScirDom outputs, remove integrity information, alter verification materials and present them as authentic, or use ScirDom branding in a misleading way.
The Client grants ScirDom the limited rights needed to host, process, secure, verify, support, and preserve Client Content and Participant Data for the services. Product improvement and analytics must use aggregated, anonymised, or statistical information where personal identification is not needed.
11. Support and availability
Support is provided by email through [email protected]. ScirDom aims to respond to support requests within two UK business days, but this is a target and not a guaranteed service level.
Unless a separate written agreement says otherwise, ScirDom does not guarantee uninterrupted availability, minimum uptime, specific response times, service credits, or that the Platform will operate without interruption or error.
ScirDom may update, maintain, improve, pause, or restrict the Platform where reasonably necessary for maintenance, security, legal compliance, misuse prevention, or service integrity.
12. Suspension and termination
ScirDom may suspend or restrict access where reasonably necessary to protect the Platform, investigate misuse, respond to a legal obligation, manage security risk, prevent fraud, handle non-payment, preserve evidence integrity, or reduce unacceptable risk.
The Client may stop using the Platform at any time, subject to any outstanding payment obligation. Stopping use does not automatically require deletion of evidence, billing, audit, security, or integrity records where retention is lawful and necessary.
13. Client indemnity
The Client will indemnify and keep indemnified ScirDom, its officers, employees, and contractors against claims, losses, liabilities, damages, costs, and expenses, including reasonable professional costs, arising from or connected with the legality, structure, rules, marketing, or operation of a Promotion; entrant eligibility criteria; Participant Data or Participant Lists supplied by or on behalf of the Client; participant communications; prize fulfilment; complaints or regulatory correspondence; misleading use or mischaracterisation of ScirDom outputs; or the Client's breach of law or these Terms.
This indemnity does not apply to the extent that a claim is finally determined to have been caused directly by ScirDom's own breach of these Terms, negligence, fraud, fraudulent misrepresentation, or other liability that cannot lawfully be excluded or limited.
14. Liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
Subject to the previous paragraph, ScirDom's total aggregate liability arising out of or in connection with a Draw, the Platform, or these Terms is limited to the fees paid for the affected Draw or affected paid service giving rise to the claim.
To the maximum extent permitted by law, ScirDom will not be liable for indirect, consequential, or special loss, or for loss of profit, revenue, business, contract, opportunity, goodwill, anticipated savings, data, management time, or business interruption, even if such loss was foreseeable.
ScirDom is not liable for losses arising from or connected with unlawful or non-compliant Promotions, promotion rules, entrant eligibility criteria, inaccurate or incomplete Participant Lists, inaccurate or incomplete Participant Data, draw configuration approved by the Client, prize fulfilment, participant communications, complaints, regulatory correspondence, Client systems, Client credentials, Client personnel, third-party services outside ScirDom's reasonable control, or refusal by a third party to accept a certificate, receipt, or Evidence Pack.
The Client acknowledges that ScirDom outputs are technical records and evidence materials only. They are not legal advice, regulatory approval, or a guarantee that a Promotion is lawful or compliant, and the Client must not rely on them as such.
The Client is responsible for maintaining appropriate insurance for Promotions, prizes, participant claims, regulatory risk, cyber risk, business interruption, and other risks relating to its activities.
15. Changes and successor operator
ScirDom may update these Terms when the service changes, the operator details change, the law changes, payment arrangements change, or operational controls change. Material changes will be published on this page or notified through the Platform where appropriate.
If the ScirDom business is transferred to a newly registered company or another successor operator, the Client agrees that the relevant contracts, rights, obligations, records, and service operations may transfer to that successor where lawful. The Client will be told when this happens.
16. Governing law
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction unless mandatory law requires otherwise.
Schedule: Data Processing Terms
This Schedule applies where ScirDom processes Participant Data or other Client Personal Data as processor for the Client.
ScirDom will process Client Personal Data only on documented instructions from the Client unless required to do otherwise by law. Documented instructions include these Terms, platform configuration, draw configuration, support requests, written instructions, and use of Platform features.
Processing may include receipt, hosting, storage, organisation, normalisation, hashing, pseudonymisation, validation, comparison, locking, retrieval, use, draw execution, result generation, certificate generation, Evidence Pack generation, disclosure to authorised recipients, retention, deletion, and other processing needed to provide the Platform.
Client Personal Data may include participant names, email addresses, telephone numbers, postal addresses, entry identifiers, ticket numbers, account references, pseudonymous identifiers, hashed identifiers, eligibility fields, entry metadata, draw metadata, winner status, and reserve status, depending on what the Client submits.
The Client must not submit special-category data, criminal-offence data, children's data, financial account data, government identifiers, or other high-risk data unless the upload is strictly necessary, lawful, safeguarded, disclosed to ScirDom in advance, and expressly agreed in writing.
ScirDom applies appropriate technical and organisational measures, including access controls, authentication controls, encryption in transit, stored-data protection where appropriate, logging, monitoring, supplier management, incident response, secure development practices, and integrity controls for draw and Evidence Pack records.
The Client gives ScirDom general written authorisation to use sub-processors to provide, host, secure, support, and operate the Platform. ScirDom remains responsible for sub-processor performance where required by law and will make current service-provider information available in the Privacy Notice or on request.
On termination or expiry, ScirDom will delete or return Client Personal Data in accordance with lawful and reasonable Client instructions unless retention is required or permitted for legal compliance, accounting, tax, audit, dispute resolution, regulatory response, security, fraud prevention, Platform integrity, evidence preservation, backups, or legal claims.
Where ScirDom retains data for integrity, evidence, or legal reasons, it will continue to protect it and process it only for the relevant retention purpose.
